Virtual Conference Information

The AAACE annual conference focuses on scholars and practitioners from the U.S and around the world who are interested in and actively contribute to the leadership for the field of adult and continuing education. Although physically distant this year, we will not be socially distant as we continue in the AAACE tradition to provide relevant content and programming, as well as new tools, solutions, and technologies.

Schedule:

  • Tuesday, October 27, 9 am - 4 pm EDT: The Commission for Distance Learning and Technology (CDLT) Pre-conference
  • Tuesday, October 27, 5 pm EDT: Welcome & Social
  • Wednesday, October 28 - Friday, October 30: 10 am - 6 pm EDT daily: General sessions run concurrently
All sessions are included in the main conference registration, with special notes below:
  • CDLT Pre-conference (held on Tuesday, October 27;  open to all for additional fee, pre-registration is required)
  • CPAE Annual Business Meeting (for CPAE members, pre-registration required)
  • CPAE Workshop, sponsored by East Carolina University (open to all for no additional fee, but pre-registration is required)

Virtual Platform, Technical Requirements, and Access:

AAACE has partnered with MeetingPlay, a secure, virtual conference platform to streamline your conference experience. All sessions, recordings, and events will be accessed through the platform. There will be some sessions via Zoom, but these will be integrated into and accessible only through the conference platform. Requirements:

  • a consistent internet connection
  • MeetingPlay recommends Google Chrome to view the platform on the desktop. Other browsers may work, but older browsers will limit functionality available.
  • adequate speakers (or headphones if you prefer)
  • the current version of Zoom (instructions on how to download available here)

Five days prior to the event, attendees will receive a confirmation registration email with a link and login to access the event beginning on Tuesday, October 27.  Access for attendees and presenters will be the same. 

From within the platform, attendees will be able to:

  • view the entire schedule
  • mark favorites to build a personal schedule
  • create a personal profile with contact information
  • opt-in to networking opportunities
  • access each session during the scheduled date/time, and any session documents and author information
  • search for sessions by author, content or subject areas
  • in session, take notes and chat (written) with other attendees
  • participate via video in networking and social sessions
  • participate in polls, games, and session ratings
  • view and link to conference sponsors
  • At the conclusion of the conference, access the recorded sessions and any session documents (available through November 30, 2020).

Session Formats:

Similar to the AAACE onsite conference, all sessions will be scheduled and have a set day/time. Generally, there will be 6-7 sessions running simultaneously in the following formats:

  • Concurrent - 25 minutes:
    • Sessions are scheduled at a specific day/time.
    • 15 to 20-minute pre-recorded presentation; time limit will be strictly enforced.
    • Attendees cannot pause, fast forward, or rewind; if an attendee leaves the session and returns, they will be a the same place in the video as all other attendees.
    • Attendees submit questions via written chat.  Audience has no audio or video.
    • Presenters will mark themselves as available and may respond to questions at the conclusion of the pre-recorded content.
    • 5-10 minutes for up to two presenters to answer questions live via video. The primary presenter and the first additional presenter as submitted in the proposal submitted via ProposalSpace will be designated to answer questions live via video.
    • Presentation time slot will not exceed 25 minutes total and session will promptly end at 25 minutes.
    • This presentation converts to an on-demand video once the session concludes so attendees may re-watch.
  • Concurrent - 15 minutes:
    • Sessions are scheduled at a specific day/time.
    • 8 to10-minute pre-recorded presentation; this time limit will be strictly enforced.
    • Attendees cannot pause, fast forward, or rewind; if an attendee leaves the session and returns, they will be a the same place in the video as all other attendees.
    • Attendees submit questions via written chat.  Audience has no audio or video.
    • Presenters will mark themselves as available and may respond to questions at the conclusion of the pre-recorded content.
    • Max 5 minutes for up to 2 presenters to answer questions via written chat in real-time.
    • Presentation time slot will not exceed 15 minutes total and session will promptly end at 15 minutes.
    • This presentation converts to an on-demand video once the session concludes so attendees may re-watch.
  • Roundtable:
    • Sessions are scheduled at a specific day/time.
    • 25-minute live presentation (no pre-record required)
    • To allow for attendee interaction and feedback, this format will be a Zoom meeting with access from within the conference platform.
    • Presenters will be able share their screen and presentation and monitor questions.
  • FastFormat:
    • Sessions are scheduled at a specific day/time.
    • 7-minute pre-recorded presentation
    • Attendees submit questions and presenters respond to questions via written chat for 3 minutes.
  • Poster:
    • The traditional poster board has changed to slides that will be presented in a pre-recorded presentation of no longer than 10 minutes in length.
    • Presenters will be available for Q&A on Wednesday at 11:30 am - 12:30 pm. Attendees will submit questions via written chat.
    • After 12:30 pm Wednesday, the poster presentations will convert to on-demand video so that attendees may re-watch.
  • CDLT Pre-conference:
    • The Pre-conference presenters will receive separate instructions by email.  Pre-recorded sessions are not required.

Due to the change to a virtual conference, there are some cases this year where authors may be listed as the primary presenter on more than one presentation.


Information for Presenters:

  • The conference platform is streamlined such that access as a presenter is no different than access as a conference attendee. 
  • For sessions with prerecorded content, your recording will begin at the scheduled date/time of your session.  You will "check in as a presenter" if designated and will be able to answer questions.

Conference Proceedings:

Presenters are invited to participate in our inaugural conference proceedings. This opportunity will allow you to share the topic of your conference session as a brief paper through the AAACE website and ERIC.
